Why the order of the criteria matters

Channels come first because anything not captured cannot be followed up. A tool with a beautiful follow-up sequence that only sees web forms is following up a fraction of the practice's demand. Write-back comes second because it is where the most fragile promises are made; a vendor who answers it narrowly is usually more trustworthy than one who answers it broadly. Cadence is third because the stop condition is what protects the practice's reputation; a sequence that cannot stop is a complaint waiting to happen.

Reporting is fourth because it decides whether you will ever know if the tool worked. Pricing is fifth because the total depends on the first four. Data residency is last on the list only because it is a pass-or-fail check, not a comparison: a vendor without a DPA and a subprocessor list is not a candidate, whatever the rest of the table says.

Three things a demo will not show you

  • The stop. Ask to see a follow-up sequence halted by a patient reply, mid-sequence, on WhatsApp. Then ask what happens if the reply is "stop".
  • The boundary. Send a message describing pain. The tool should decline to answer and hand the thread to a person with the full context attached.
  • The report. Ask for last month's conversion figure for a live practice, with the practice's permission. If the tool only reports messages sent, it cannot produce one.

Does automated follow-up annoy patients?

It does when it cannot stop. A follow-up that keeps going after the patient has replied, booked or asked to be left alone is the failure mode to test for. The right behaviour is a short sequence with polite wording, a hard stop the moment the patient answers or a team member takes over, and opt-out handling on every channel. Ask any vendor to show the stop condition working, not just the send.

What is PMS write-back and does it matter?

Write-back means the tool creates or updates records in the practice management system: a new patient, a note, an appointment. It sounds essential and is often the most fragile part of a product. Ask exactly what is written, to which PMS, and what happens when the PMS is unavailable. ReplyOS® does not write into the PMS today; booking stays in the practice diary, which is a deliberate boundary rather than a gap.

What does UK data residency mean for patient messages?

Where the message content, phone numbers and any attachments are stored and which subprocessors handle them. Under UK GDPR the practice is the controller and the tool is a processor, so you need a Data Processing Agreement, a list of subprocessors, and a clear answer on storage location before go-live. A vendor that cannot produce those three documents is not ready for patient data.
