For private clinics
For clinics where an enquiry becomes a paid consultation.
ReplyOS answers patient enquiries in seconds, keeps every message in one inbox and follows up quiet enquiries politely until they book. It was built with UK dental practices. The same problem, an enquiry that goes unanswered or goes quiet, costs a self-pay clinic just as much.
Who it is for
Dental first, then the clinics that share its pattern
Dental practices
Where ReplyOS started. Every example, demo and calculator on this site is dental.

Group HQ on Scale: every practice’s enquiries, response times and leakage on one screen.
For dental groupsAesthetics clinics
Treatment questions arrive by Instagram and WhatsApp in the evening, and price comes up first. The same pattern ReplyOS handles for cosmetic dentistry.
Hair restoration clinics
Long consideration, photos sent by message, comparison with clinics abroad, and strict rules on follow-up.
Hair transplant enquiriesWhat it does for a clinic
A first reply in seconds on website chat
Using your own answers: treatments, from-prices, what a consultation involves and who it is with. Day or night.
Every message in one inbox
Website chat, SMS and email, with WhatsApp, Instagram and Facebook on Pro and Scale. Each conversation has an owner, so nothing sits in a coordinator’s personal phone.
A text back after a missed call
Anyone whose call to your ReplyOS clinic number goes unanswered gets a text, usually within a minute, and the conversation carries on by message.
Calm follow-up after a consultation enquiry
A capped number of polite messages, spaced out, that stop the moment the person replies, books or is handed to your team. Automatic follow-up is on Pro and Scale.
What it never does
- Give clinical advice, assess photos or quote an outcome. Those go to a named person on your team.
- Use countdowns, “offer ends Friday” or any pressure to book.
- Touch your diary or practice software. Your team books as it does now.
- Send on SMS, email or social without approval, until you choose otherwise. Website chat is answered straight away.
Where we are
Built dental-first. We are taking on our first clinics outside dentistry now, and no hair restoration clinic uses ReplyOS yet. We would rather see what your enquiries look like before you commit to anything.
Which clinics is ReplyOS for?
UK clinics where an enquiry becomes a paid consultation or treatment: dental practices and groups first, then self-pay clinics with the same pattern, such as aesthetics and hair restoration. It suits clinics whose enquiries arrive by website chat, text, email or social messages and are worth a real conversation.
Is ReplyOS already used by aesthetics or hair restoration clinics?
ReplyOS was built with UK dental practices and every example on this site is dental. We are now taking on our first clinics outside dentistry, and no hair restoration clinic uses it yet. If you run one, we would rather hear what your enquiries look like before you commit to anything.
Will it give clinical advice or quote outcomes to patients?
No. It answers the questions your team has given it answers for, such as fees, opening hours and what a consultation involves. Anything clinical, such as a diagnosis, a photo assessment or a question about risk, is handed to a named person on your team with the whole conversation attached.
Does the follow-up respect the advertising rules for cosmetic treatments?
Follow-up is a small number of polite messages, spaced out, that stop the moment the person replies, books or is handed to your team. It never uses countdowns or time-limited offers, which CAP guidance on cosmetic interventions says should not be used. You approve the wording before it goes out.
Does it change how we book appointments?
No. ReplyOS does not write to your diary or practice software. It gets the conversation to the point of booking and hands it to your team, who book as they do now.
